How to Share a File or Folder via OneDrive
This video explains how to share a file or folder with a specific user using the sharing options available in OneDrive.
Steps to share
- Right-click on the file or folder you want to share and select “Share”.
- In the “Add a name, group, or email” field, enter the recipient's email address. It can be someone in your organization or an external contact.
- Click the pencil icon to set permissions:
- Can edit: allows the user to modify the file
- Can view: view-only access
- Block download: allows viewing but disables file download
- You may include an optional message for the recipient
- Click the gear icon to adjust link access options:
- Anyone: accessible by anyone with the link, even outside your organization
- People in your organization: accessible only by users within your company
- Specific people: restricted to the specified recipients only
- Additional options include:
- Set expiration date: disables the link after a chosen date
- Set password: requires a password to access the file
- Once all settings are configured, click “Send” to share
- To check access, right-click the file again and select “Manage access” to review current users and shared links
